TotalWellness is monitoring the COVID-19 situation closely and adjusting our procedures as needed. Our priority is the health and safety of our contractors, clients and the communities we serve. This webpage will be updated as procedure modifications are made to combat the spread of the coronavirus and COVID-19.
March 29, 2023 | TotalWellness COVID-19 Mask Update
Starting April 1st, 2023, TotalWellness will no longer require medical professionals to wear masks at our onsite events, with the following exceptions:
- Masks are to be worn if a local, regional, or state regulation requires masks.
- Masks are to be worn if requested by the client.
TotalWellness will continue to provide masks in supply shipments in case they are needed. In addition, medical professionals may continue to choose to wear a mask even if it is not required at the event.

TotalWellness is monitoring the COVID-19 situation closely and following the recommendations provided by our Medical Director, Dr. Thomas Safranek and guidelines provided by the CDC. Our priority is the health and safety of our medical professionals, clients, participants and the communities we serve. We’ve developed and are implementing the following action plan.
Contractor COVID-19 Screening Questionnaire
All confirmed medical professionals and medical professionals interested in working upcoming events must complete and pass our COVID-19 screening questionnaire prior to working a TotalWellness event.
Medical professionals who are fully vaccinated against COVID-19 must be able to answer no to the following questions to work at TotalWellness events.
- Have you tested positive for COVID-19 in the last fourteen days? YES/NO
- Do you have any of the following symptoms? YES/NO
- Fever of 100.4 degrees F or higher?
- Persistent cough?
- Shortness of breath?
- New loss of taste or smell?
- Body aches?
- Headaches?
Medical professionals who are not fully vaccinated against COVID-19 must be able to answer no to the following questions to work at TotalWellness events.
- Have you tested positive for COVID-19 in the last fourteen days? YES/NO
- Have you had any known exposure* to, or contact with, any individual with a confirmed case of COVID-19 in the last fourteen days? YES/NO
- Do you have any of the following symptoms? YES/NO
- Fever of 100.4 degrees F or higher?
- Persistent cough?
- Shortness of breath?
- New loss of taste or smell?
- Body aches?
- Headache?
*Exposure is defined as 15 or more minutes of contact without a mask/face covering or other protective gear with an individual who has a confirmed case of COVID-19.
Medical professionals must answer no to their applicable question set above to work a TotalWellness event. Medical professionals must answer the questions upon nominating for an event and ask themselves again immediately prior to the event to ensure answers remain no.
If a medical professional answer “yes” to any of the applicable questions, the individual will be removed from upcoming events and will not be allowed to work at a TotalWellness event until they have met the criteria set forth by the CDC regarding when it is safe to stop self-isolating/quarantining. Criteria for quarantining depends on vaccination status. Criteria for vaccinated individuals. Criteria for unvaccinated individuals.
Extra Supplies at Events
TotalWellness will be providing additional materials at all events to help minimize the risk of transmission and potential exposure.
- Disinfecting wipes will be sent to each event to be used to sanitize equipment, iPads, and surfaces frequently throughout the event.
- Additional disposable placemats will be sent to events so they can be changed frequently.
- Masks will be provided and are to be worn throughout the duration of the event.
- Medical professionals are required to wear masks while working TotalWellness events, no matter their vaccination status.
- Hand sanitizer will be sent to each event to ensure sanitizer is readily available for use.
Contractor Modifications
In order to ensure safe events and to abide by social distancing practices, TotalWellness is making the following changes and requests of our clients:
- Clients are asked to provide adequate spaces to host events in. The space must allow for each station to be setup at least 6 feet apart from the next station.
- Clients are asked to setup the registration station outside of the event room, where possible. This will help reduce the quantity of individuals in the screening/flu shot room at one time.
- Clients are asked to prop open doors, where possible, to avoid the need to touch door handles.
- Participants are encouraged to practice social distancing while waiting.
- Appointments are highly encouraged, and walk-ins are to be discouraged.
- Signage about social distancing and extra sanitation will be available for sites to utilize.
For events with paper consent forms:
- Participant consent forms will be provided to site contacts electronically in advance. TotalWellness recommends that participants print out and complete the consent form prior to arriving at the event.
For events with electronic data collection:
- iPads are to be kept at each designated station and sanitized if touched by a participant.
- At registration, the iPad should be sanitized in between each participant.
- The electronic data collection flow has been modified so participants can verbally agree with the final results instead of signing the agreement on the iPad. During this step, results are to be shown to the participant on the iPad, the participant will agree that the results are documented correctly or corrections will be made to document the results correctly. Once the participant agrees with the result documentation an “agree” checkbox will be clicked by the medical professional and the results will be submitted.
Contractor Payment Reminder
Please note that as the COVID-19 spreads, you may see some TotalWellness events canceled. Our contracts include a force majeure clause, which allows clients to cancel events due to things beyond their control like natural disasters, acts of god and global health emergencies. Unfortunately, this also means you will not receive reimbursement for canceled events. We will make every effort to reschedule events with the original contractors. We ask for your patience and understanding as this outbreak continues to evolve and change each day.

We are adjusting our procedures as needed and implementing alternative strategies as new information becomes available. Our priority is the health and safety of our contractors, clients and the communities we serve. We’ve developed and are implementing the following action plan.
Contractor COVID-19 Screening Questionnaire
All confirmed contractors and contractors interested in working upcoming events must complete and pass our COVID-19 screening questionnaire prior to working a TotalWellness event. The questionnaire includes the following three questions.
- Have you had any known exposure to, or contact with, any individual with a confirmed case of COVID-19? YES/NO
- Have you or anyone in your household traveled to a COVID-19 hot spot in the past two weeks? YES/NO
- Do you have any of the following symptoms? YES/NO
- Fever of 100.4 degrees F or higher?
- Persistent cough
- Shortness of breath?
You must answer no to all three questions above in order to work a TotalWellness event. You must answer the questions upon nominating for an event and ask yourself again immediately prior to the event to ensure answers still remain no.
If your answer is “yes” to question one, you’ll be removed from all events for two weeks from the date of exposure. If symptoms are not present after two weeks, you’ll be allowed to work events after waiting for two weeks.
If your answer is “yes” to question two, you’ll be removed from all events within two weeks of traveling to the COVID-19 hot spot. If symptoms are not present after two weeks, you’ll be allowed to work events after waiting for two weeks.
If your answer is “yes” to question three, you’ll be removed from all events for a minimum of two weeks. You must be symptom-free for at least two weeks to be allowed to work a TotalWellness event.

Contractor Modifications
In order to minimize the risk of transmission please practice good hygiene. We ask that you follow the guidelines below.
- Stay home if you have a fever or symptoms of a respiratory illness.
- Wash hands often with soap and water for at least 20 seconds.
- Use alcohol-based hand sanitizer frequently throughout the event, specifically between participants.
- Avoid touching eyes, nose, and mouth.
- Do not shake hands with other contractors or participants.
- Do not share pens with participants or other contractors.
- Clean and disinfect frequently touched objects and surfaces with the provided disinfecting wipes.
- Use alcohol or disinfecting wipes to clean iPads.
- Utilize one placemat for supplies and a second placemat for the participant’s sample collection. Replace the participant placemat after each participant.
- Practice social distancing of at least 6 feet with other contractors and participants, when possible.
- Be extra careful to only touch surfaces when necessary.
Event Modifications
In order to ensure safe events and to abide by social distancing practices, TotalWellness is making the following changes and requests of our clients regarding event modifications:
- Clients will be asked to provide adequate spaces to host events in. The space must allow for each screening station to be setup at least 6 feet apart from the next station.
- Events will be held with a limit of 10 individuals in a single room/space. In order to accommodate this, TotalWellness will not allow more than 5 screening stations to be setup in one room. We will ask that the site contacts ensure separate rooms/spaces if more than 5 screenings stations are needed, or to extend the event hours to ensure only 5 screening stations are needed to accommodate the participants.
- We are only allowing 5 screening stations because each screening station can have up to two individuals at it, one participant and one medical professional.
- Clients will be asked to setup the registration station outside of the event room, where possible. This will help reduce the quantity of individuals in the screening room at one time.
- Clients will be asked to prop open doors, where possible, to avoid the need to touch door handles.
- Participants will be asked to line up at least 6 feet apart when waiting for their screening. Participants will also be asked to stand while waiting for their screening instead of sitting in chairs.
- Appointments will be highly encouraged, and walk-ins are to be discouraged. Individuals should make an appointment and come to the screening event at the designated appointment time. When possible, it is recommended that site contacts call participants when it is time for them to come to the screening area, as this will limit the number of individuals gathering near the screening area.
- Signage about social distancing and extra sanitation will be available for sites to utilize.
For events with paper consent forms:
- Participant consent forms will be provided to site contacts electronically in advance. TotalWellness will recommend that participants print out and complete the consent form prior to arriving at the event.
- Participants will be asked to bring their own pens to the event, to help reduce the need for multiple participants to use the same pen.
For events with electronic data collection:
- Keep each iPad at your designated station and sanitize if touched by a participant. Avoid sharing your assigned iPad with other contractors.
- At registration, sanitize the iPad in between each participant.
- The electronic data collection flow has been modified so participants can verbally agree with the final results instead of signing the agreement on the iPad. During this step, show the results to the participant on the iPad and ask if the participant agrees that they were documented correctly. Once they agree, click the checkbox and submit.

A new virus first identified in Wuhan, China in late 2019 has been spreading across the globe and is now in the United States. The new coronavirus, COVID-19, is not a flu but a pneumonia-like infection. The virus symptoms manifest as a mild to severe respiratory illness with fever, cough, and difficulty breathing. The Centers for Disease Control (CDC) believes at this time that symptoms may appear in as few as two days or as long as 14 days after exposure.
People can catch COVID-19 from others who have the virus. The disease can spread from person to person through small droplets from the nose or mouth, which are spread when a person with COVID-19 coughs or exhales. These droplets also land on objects and surfaces around the person. Other people then catch COVID-19 by touching these objects or surfaces, then touching their eyes, nose, or mouth.
TotalWellness is monitoring the situation closely and adjusting our procedures as needed. Our priority is the health and safety of our contractors, clients and the communities we serve. We are asking all of our contractors to help minimize the risk of transmission and instill confidence by practicing good hygiene at events.
- Stay home if you have a fever and/or symptoms of respiratory illness, such as a cough or difficulty breathing. If you need to cancel, please call TotalWellness ASAP at 888.434.4358 and ask to speak to the scheduling team. If calling after hours speak with the on-call staff or the answering service. TotalWellness has 24-hour phone coverage, so you should always be able to speak with someone.
- Wash your hands often with soap and water for at least 20 seconds. If soap and water are not available, use an alcohol-based hand sanitizer.
- Avoid touching your eyes, nose, and mouth with unwashed hands.
- Do not shake hands with participants or other contractors.
- Cover your cough or sneeze with a tissue, then throw the tissue in the trash.
- Make sure your station is set up in a clean and organized manner.
- Clean and disinfect frequently touched objects and surfaces. TotalWellness will include disinfecting wipes in all shipments for events starting on March 16th.
- Use alcohol or disinfecting wipes to clean iPads.
- Utilize masks. Due to high demand, we don’t have enough for everyone. Please only use if you have a cough or if a participant requests a mask. Masks will be available for events on March 16th and after, and only available in a limited supply.
- Change placemats as needed.
As an additional precaution, if you have nominated for an upcoming event, we will be asking you to complete a COVID-19 screening questionnaire to help ensure event safety.
